How to reply to Google reviews with AI without sounding like a robot
A quick tip for answering Google reviews faster. Let AI draft the first version in your own voice, then read, edit and post it yourself.
Replying to reviews is one of the quickest ways to look trustworthy on Google, but it is easy to put off. Here is how to reply to Google reviews using AI as a helper, without the replies sounding like a robot wrote them.
Start by giving the AI assistant a sample of how you really write: a couple of emails or messages in your normal tone. Then paste in the review text only, with the customer's name, phone number and any order details removed. Ask for two short replies in your voice, one warm and one a little more formal. Tell it to avoid stock phrases such as "we value your feedback", and not to promise refunds or anything else you haven't agreed.
Next, read the draft out loud. If it doesn't sound like you, change it. Add one real detail, such as the job you did or the dish they enjoyed, so it feels personal. For a poor review, keep it calm, apologise where fair, and offer to sort things out offline.
To post, Google's help pages say to open your Business Profile, choose Read reviews, select the Reply icon, type your response and select Reply. You must have a verified business. Google checks replies against its content policies before they appear, usually within about ten minutes, and the reviewer is notified. You can edit or delete a reply later.
What this means for your business
AI can cut a ten-minute job to two, but a person should always make the final read before anything goes public. Keep customer details out of the AI tool, and aim to reply to every review within a few days.
